Administrative Assistant / Project Coordinator (Contract)
Location: Plymouth, MN (100% Onsite)
Duration: 5-Month Contract
About the Opportunity
Our client is seeking an experienced Administrative Assistant / Project Coordinator to provide high-level administrative and project support for managers and directors during a five-month contract assignment. This role is ideal for a polished professional who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes initiative to improve processes and efficiencies.
This is a temporary contract position with no opportunity for permanent conversion.
Key Responsibilities
- Manage complex calendars, meeting schedules, and travel arrangements
- Coordinate onsite and virtual meetings, team events, and departmental activities
- Prepare presentations, correspondence, reports, and other business documents
- Process expense reports and assist with budget tracking activities
- Support onboarding activities and office setup for new employees
- Maintain confidentiality while handling sensitive business information
- Serve as a primary point of contact for scheduling and administrative support
- Assist with planning and coordinating employee engagement events, including team meetings, town halls, and larger company gatherings
- Support project coordination efforts, timelines, and department initiatives
- Identify opportunities to improve existing processes and administrative workflows
Qualifications
- Proven experience in an Administrative Assistant, Executive Assistant, Project Coordinator, Office Coordinator, or similar role
- Exceptional organizational and project management skills
- Strong written and verbal communication abilities
- Excellent customer service and interpersonal skills
- Ability to manage multiple priorities, meet deadlines, and adapt to changing needs
- Experience supporting managers, directors, or senior leadership teams
- Strong attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
Preferred Experience
- Calendar management and scheduling for multiple stakeholders
- Project coordination and timeline management
- Event planning and execution, including larger employee events and team meetings
- Internal communications support
- Employee onboarding and office support functions
- Travel and expense management
Technical Skills
- Microsoft Outlook, including advanced calendar management
- Microsoft PowerPoint for presentation creation and formatting
- Microsoft Excel for tracking, reporting, and basic analysis
- Microsoft Word and other Microsoft Office applications
- Experience with travel and expense management systems is a plus
