Our client, a leading law firm located in downtown Houston, is seeking a highly organized Practice Assistant to provide administrative support to a group of attorneys and professionals in a fast-paced, client-focused environment. This is an excellent opportunity for someone with a strong administrative or executive support background who is accustomed to supporting multiple busy professionals or executives. Prior legal industry experience is not required. The client is primarily looking for someone who is sharp, personable, capable, and comfortable managing a variety of priorities while providing a high level of service. The Practice Assistant will serve as a trusted administrative resource, managing calendars and scheduling, coordinating domestic and international travel, processing expenses, organizing meetings, and assisting with a variety of day-to-day administrative projects. The right candidate will be proactive, detail-oriented, comfortable communicating with different personalities and levels of leadership, and able to anticipate needs rather than simply react to requests. This is a direct hire role with hours of Monday – Friday from 8:30 am – 5:00 pm with occasional OT when needed. Compensation is between 75K-90K based on experience.

Job Responsibilities:

  • Provide comprehensive administrative support to multiple attorneys and professionals, serving as a reliable point of contact for day-to-day scheduling, coordination, and administrative needs.
  • Manage multiple busy and frequently changing calendars, including scheduling internal and external meetings, coordinating participants, resolving conflicts, and adjusting priorities as needs change.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and changes that may arise before or during travel.
  • Prepare, review, and submit expense reports and reimbursement requests, ensuring receipts and supporting documentation are organized and submitted accurately.
  • Assist professionals with daily administrative workflows, including meeting preparation, document organization, correspondence, scheduling, and general business support.
  • Coordinate meetings, conferences, client functions, and internal events, including logistics, meeting materials, conference rooms, technology needs, and attendee communication.
  • Serve as a liaison between supported professionals and internal departments, helping facilitate requests and ensuring administrative needs are addressed efficiently.
  • Proactively monitor schedules, deadlines, and upcoming priorities to help supported professionals stay organized and prepared.

Qualifications:

  • 3+ years of administrative, executive assistant, practice assistant, or similar professional support experience preferred.
  • Experience supporting multiple executives, leaders, managers, or busy professionals simultaneously is highly preferred.
  • Candidates from corporate, professional services, financial services, consulting, healthcare, technology, real estate, or other professional office environments are encouraged to apply. Prior law firm experience is not required.
  • Strong experience with calendar management, scheduling, meeting coordination, travel arrangements, and expense reporting.
  • Ability to manage multiple personalities, work styles, schedules, and competing requests while remaining organized and professional.
  • Strong proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational skills with strong attention to detail and follow-through.
  • Ability to independently prioritize assignments and recognize when something requires immediate attention.
