Our client, a leading global law firm located in downtown Houston, is seeking an Executive Assistant to provide dedicated administrative support to a group of partners within a fast-paced legal practice. This individual will manage complex calendars, travel arrangements, client communications, billing support, and a variety of administrative functions while serving as a trusted business partner to firm leadership. The ideal candidate will proactively anticipate needs, resolve issues before they arise, and consistently deliver a high level of service to both internal and external stakeholders. This is a collaborative, professional environment that values excellence, teamwork, discretion, and client service. This is a permanent position that is fully onsite and operates during standard business hours (8:30 am – 5:00 pm) with flexibility required.
Job Responsibilities:

Provide dedicated executive support to assigned partners and maintain awareness of key priorities, commitments, and deadlines

Manage complex calendars, scheduling, meeting coordination, and conference room bookings

Coordinate domestic and international travel, including complex multi-city itineraries

Prepare, review, and process expense reports and reimbursement requests

Assist with time entry, billing administration, and compliance with client guidelines

Coordinate client meetings, special events, conferences, and business development activities

Maintain CRM data and support relationship management initiatives

Prepare presentations, meeting materials, agendas, and client-facing documents

Serve as a resource to administrative team members by sharing best practices and supporting process improvements

Handle sensitive and confidential information with the highest level of professionalism and discretion
Qualifications:
-
Minimum 5 years of Executive Assistant experience supporting senior leaders, partners, or attorneys

Prior law firm or professional services experience strongly preferred

Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel
-
Demonstrated expertise managing high-volume calendars and scheduling priorities

Experience coordinating complex domestic and international travel

Exceptional organizational, project management, and multitasking abilities

Strong written and verbal communication skills with outstanding attention to detail

Ability to exercise sound judgment, maintain confidentiality, and work effectively in a fast-paced environment

Proven ability to anticipate needs, solve problems proactively, and manage competing priorities

Professional presence with the ability to interact confidently with executives, attorneys, clients, and vendors
