Position Overview
Our client is seeking an Administrative Assistant to provide administrative support and front desk coverage for its El Segundo office. This individual will play a key role in supporting multiple departments while ensuring a professional and welcoming office environment. The ideal candidate is highly organized, customer service-oriented, proactive, and capable of thriving in a fast-paced setting.
Key Responsibilities
Administrative Support
- Provide administrative support to various departments within the El Segundo office.
- Perform data entry, word processing, report generation, and other general office functions.
- Prepare and process expense reports.
- Assist with special projects, meeting coordination, and event planning.
- Handle incoming mail and distribute correspondence appropriately.
- Perform additional administrative duties as assigned.
Contract & Vendor Coordination
- Prepare, execute, and follow up on contracts and work orders for the Development, Leasing, and Operations teams.
- Review and process vendor setup documentation.
- Upload and code invoices within the Nexus system.
Front Desk & Office Operations
- Serve as the primary point of contact for office visitors and guests.
- Maintain a professional and welcoming reception area.
- Order and manage office and kitchen supplies.
- Restock beverage stations and kitchen inventory as needed.
- Coordinate maintenance and service requests for office equipment, including copiers and other office machines.
Qualifications
Required
- High school diploma required; some college coursework preferred.
- Minimum of 2 years of administrative or office support experience.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple tasks and adjust to changing priorities.
- Dependable, self-motivated, and capable of working independently.
- Team-oriented mindset with strong interpersonal skills.
- Ability to stand as needed and lift up to 30 pounds.
Preferred
- Experience processing expense reports.
- Experience working with invoices, contracts, or vendor documentation.
- Familiarity with office equipment such as copiers, scanners, and voicemail systems.
- Basic troubleshooting and problem-solving skills.
Details
- Onsite Monday – Friday 9am – 5pm
