Concierge Assistant/Receptionist
Location: Nashville, TN 37208
Schedule: Monday-Friday, 8am-5pm (No Weekends)
Work Arrangement: Fully Onsite
Employment Type: Contract (8-12 Weeks) with potential for permanent Hire
Pay Rate: $18-$20/hour, depending on experience
About the Opportunity
Beacon Hill’s client is seeking a professional, hospitality-focused Concierge Assistant/Receptionist to serve as the welcoming face of their Nashville office. This highly visible role is ideal for someone who enjoys creating exceptional experiences, supporting office operations, and building positive relationships with clients, visitors, and internal team members.
The Concierge Assistant will play a key role in maintaining a polished and organized workplace by managing front desk operations, coordinating meeting and event logistics, and ensuring a seamless experience for everyone who enters the office.
Key Responsibilities
- Welcome and assist guests, clients, vendors, and employees, providing a professional and positive experience from arrival through departure.
- Oversee reception desk operations and monitor the concierge inbox, responding promptly to inquiries, requests, and service-related needs.
- Coordinate visitor arrangements, including pre-visit communications, security procedures, badge distribution, and guest welcome materials.
- Support the planning and execution of meetings and office events by reserving conference rooms, arranging catering, ordering supplies, and confirming technology readiness.
- Maintain meeting rooms and common areas by preparing spaces before use and resetting them afterward to ensure a clean, professional environment.
- Partner with building management and internal departments to address facility issues and promote a safe, secure workplace.
- Assist with basic technology support, including guest Wi-Fi access, conference room equipment, presentation displays, and hybrid meeting setup.
- Arrange transportation services, validate parking, and provide directions or assistance to visitors and external partners as needed.
- Help coordinate larger office functions, employee events, town halls, and seasonal celebrations to ensure a seamless experience for attendees.
- Provide logistical event support, including preparing materials, posting signage, monitoring activities, and assisting with event breakdown.
- Work closely with cross-functional teams to enhance office services, improve workplace functionality, and elevate the overall guest experience.
- Offer additional administrative and front-of-house support during busy periods or team member absences.
Qualifications
- Bachelor’s degree preferred.
- 2-4 years of experience in hospitality, customer service, front desk, reception, administrative support, or a similar client-facing environment.
- Experience managing guest services, coordinating logistics, and supporting office operations in a professional setting.
- Strong verbal and written communication skills with the ability to interact confidently with individuals at all levels.
- Excellent organizational abilities with strong attention to detail and time management skills.
- Proficiency with Microsoft Office Suite and the ability to quickly learn new systems and technologies.
- Proven ability to multitask, prioritize competing demands, and remain composed in a fast-paced environment.
- Ability to work onsite five days per week and provide occasional support for special events or extended hours when needed.
