Job Overview

Beacon Hill is partnering with a community-focused non-profit organization seeking an Administrative Assistant to support daily office operations, administrative processes, and program coordination. This individual will serve as a key point of contact for staff, clients, and visitors while helping ensure efficient office management, documentation compliance, facilities coordination, and scheduling support.

Key Responsibilities

  • Provide professional and responsive customer service to clients, visitors, staff, and external partners.
  • Coordinate communication and scheduling between providers, support staff, and clients.
  • Maintain electronic records, calendars, databases, and other required tracking systems.
  • Monitor and support the completion and organization of program-related documentation.
  • Enter, track, and maintain data within internal and external reporting systems.
  • Assist with the administration of surveys, assessments, and other program reporting requirements.
  • Oversee office and facility-related requests, coordinating with appropriate internal departments and vendors.
  • Serve as the primary liaison for technology-related office equipment and support requests.
  • Manage office supply inventory and purchasing activities.
  • Support the development, implementation, and maintenance of office procedures and administrative processes.
  • Provide administrative support for healthcare-related services, including scheduling, documentation management, inventory tracking, and coordination of required materials.
  • Assist with special projects and provide additional administrative support as needed.

Qualifications

  • Bilingual in Spanish
  • 2+ years of administrative or office management experience.
  • Strong understanding of office operations and administrative procedures.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook and Excel.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Professional interpersonal skills and customer service orientation.
  • Ability to read, write, and communicate effectively in English.

Preferred Qualifications

  • Experience supporting healthcare, behavioral health, nonprofit, or social services programs.
