Position Overview
Growing construction company seeking a highly organized, adaptable, and personable Administrative & Office Coordinator to support the Charlotte corporate office. This role serves as the primary administrative resource for the office and provides support across administration, marketing, HR, operations, and office management functions. The ideal candidate is proactive, tech-savvy, maintains confidentiality, and thrives in a fast-paced, team-oriented environment where no task is too small or too large.
Key Responsibilities
Administrative & Office Support
- Serve as a welcoming presence for employees, visitors, and clients.
- Provide day-to-day administrative support to leadership and office staff.
- Coordinate meetings, office activities, and general office operations.
- Assist with errands, special projects, and miscellaneous administrative tasks as needed.
- Help maintain office supplies, equipment, and overall office organization.
- Support the Charlotte office relocation planned for later this year.
Human Resources Support
- Assist with HR-related administrative functions.
- Handle sensitive and confidential employee information appropriately.
- Support onboarding and employee documentation processes as needed.
Marketing & Brand Support
- Manage company promotional inventory, branded merchandise, and marketing materials.
- Coordinate ordering and distribution of company swag, apparel, and promotional products.
- Serve as a point of contact for marketing-related requests and vendor coordination.
Technology & Operations Support
- Provide basic technical troubleshooting and office technology support.
- Assist with maintaining equipment, systems, and technology resources.
- Support SharePoint, Microsoft Office, and Excel-based workflows.
Cross-Functional Team Support
- Partner with multiple offices, including Charlotte, Raleigh, Atlanta, and Texas locations.
- Support special projects and operational initiatives as the company continues to grow.
- Demonstrate flexibility and willingness to assist in various capacities across the organization.
Qualifications
- Administrative, office management, coordination, or related experience required.
- Strong organizational and multitasking skills.
- Professional, positive, and adaptable personality.
- Ability to maintain confidentiality and exercise discretion.
- Strong technical aptitude and proficiency with Microsoft Office, particularly Excel.
- Experience in construction, engineering, or a related industry is a plus.
- Marketing or promotional materials coordination experience is helpful.
- Degree preferred but not required.
