Our client is seeking a high‑performing Executive Assistant to support a fast‑paced Investor Relations team split between New York and Chicago. This is an EA+ role requiring strong judgment, exceptional organization, and the ability to manage competing priorities tied to the IR cycle. Hours are Monday through Friday, 8:30am-5:30pm, and light after‑hours awareness is expected, primarily for time‑sensitive matters, though logging in nightly is not required. This role operates on a hybrid schedule of four days onsite and Fridays remote.

Key Responsibilities:

  • Provide executive‑level administrative support to 4-6 Investor Relations Principals and Vice Presidents
  • Manage complex calendars across multiple time zones, coordinating internal and external meetings
  • Coordinate heavy domestic and international travel, including itineraries, logistics, and last‑minute changes
  • Process expenses in accordance with firm policies with accuracy and timeliness
  • Support Investor Relations operations including CRM updates, reporting, and contact list management
  • Assist with roadshow logistics, investor meetings, and conference coordination
  • Support Operational Due Diligence (ODD) coordination and tracking
  • Assist with DDQ support, fund data room organization, and investor materials
  • Track and distribute capital call reminders and related communications
  • Prepare, proofread, and organize investor‑facing presentations and documents
  • Partner closely with other EAs to provide backup coverage and share best practices

Qualifications:

  • 5-7+ years of Executive Assistant experience, ideally within financial services
  • Prior Investor Relations, fundraising, or sales support experience strongly preferred
  • Bachelor’s degree required
  • Strong organizational and time‑management skills with excellent attention to detail
  • High level of professionalism, maturity, and sound judgment
  • Proactive, service‑oriented mindset with willingness to roll up sleeves
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to manage shifting priorities across different phases of the IR cycle

Compensation/Benefits:

  • Up to $140K-$150K base salary + discretionary bonus
