Our client is seeking a highly adaptable and polished Executive Assistant/Office Coordinator to serve as a true “catch‑all” support partner during an exciting phase of growth. This role is equal parts executive support, front‑of‑house presence, and office coordination, and is ideal for someone who thrives in a fast‑paced startup environment with a professional services mindset. Hours are 8:30am-5:30pm, fully onsite five days per week.

Key Responsibilities:

  • Provide day‑to‑day administrative support including calendar management, travel coordination, expense processing, and meeting logistics
  • Serve as the primary front‑desk presence, greeting clients, candidates, and visitors with professionalism and warmth
  • Manage conference room scheduling, visitor coordination, and meeting setup
  • Coordinate catering for meetings, team events, and client engagements
  • Order and manage office supplies, snacks, and general office inventory
  • Liaise with building management and vendors for facilities‑related needs
  • Monitor and respond to shared inboxes related to office operations and front‑desk inquiries
  • Assist with internal events, offsites, and team‑building initiatives
  • Provide backup support to other administrative team members as needed
  • Take ownership of office operations and contribute to building scalable processes as the firm grows

Qualifications:

  • 2-3+ years of experience in an Executive Assistant, Office Coordinator, or Receptionist role
  • Background in professional services or a corporate office environment preferred
  • Strong organizational skills with excellent attention to detail and follow‑through
  • Polished, approachable demeanor with confidence interacting with senior leadership
  • Proactive, adaptable, and comfortable wearing multiple hats
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Bachelor’s degree or equivalent professional experience

Compensation/Benefits:

  • Up to $85K-$120K base salary + discretionary bonus
  • Full benefits package in progress (medical, dental, vision, 401(k), PTO, and additional perks)
