A growing, service-focused organization within a larger national platform is seeking a Service & Scheduling Coordinator to support its expanding service operations team. This role sits at the center of customer experience and field service coordination and is well-suited for someone who enjoys problem-solving, scheduling, and working cross-functionally with technicians and internal stakeholders. This role is onsite Tues-Thurs in Rosemont.
Key Responsibilities
- Handle inbound and outbound customer communications related to service scheduling and general service inquiries
- Schedule service appointments in real time and confirm technician availability
- Provide first-level customer support, escalating complex issues to appropriate internal teams
- Optimize daily service schedules and assign efficient routes for field-based service managers
- Partner closely with service leadership and technicians to manage reschedules, cancellations, and same-day service requests
- Verify warranty and service coverage status and determine appropriate dispatch pathways
- Coordinate third-party service needs when applicable, including customer handoffs and vendor referrals
- Maintain accurate service records, scheduling notes, and customer interactions in the service management system
- Close completed work orders daily and confirm payment prior to close-out
- Own follow-up and payment collection on past-due work orders
Required Qualifications
- 2+ years of experience in service scheduling, dispatch, customer service, or a comparable operations role, ideally within appliance service, HVAC, water systems, or equipment service scheduling
- Experience supporting field technicians or service-based teams preferred
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Comfortable navigating scheduling changes and managing customer expectations
- Proficiency with CRM or service management systems and standard office tools
