Our client is seeking a highly capable Executive/Personal Assistant to support the Founder & CEO of a middle‑market private investment firm. The role blends executive, personal, and family support and requires exceptional judgment, discretion, and a hospitality‑first mindset. The position is remote for NYC/NJ candidates, with occasional travel to the Pennsylvania office (approximately once per month or quarterly), and flexibility to support travel‑heavy schedules.
Key Responsibilities:
- Provide comprehensive executive and personal support across business, personal, and family needs
- Manage highly dynamic calendars that blend professional and personal priorities
- Coordinate complex domestic and international travel, including private aviation, commercial flights, ground transportation, and detailed itineraries
- Act as an advance planner for travel, ensuring logistics are fully thought through (bags, WiFi, hotel details, gym access, contingencies, etc.)
- Serve as a trusted liaison with family office staff, household staff, extended family, and corporate teams
- Exercise strong judgment around meeting prioritization, investor commitments, and schedule shifts
- Communicate proactively with internal and external stakeholders to ensure seamless execution
- Track expenses across business, personal, and philanthropic contexts in coordination with accounting teams
- Provide support for family events, extended stays, and on‑the‑ground logistics during complex trips
- Take initiative to solve problems independently and present thoughtful options with clear rationale
Qualifications:
- 3-5+ years of Executive Assistant, Personal Assistant, or hybrid EA/PA experience
- Background in professional services, finance, family office, hospitality, events, or UHNW support environments
- High emotional intelligence with the ability to work with a direct, fast‑moving principal
- Strong written and verbal communication skills; excellent proofreading and editing ability
- Highly detail‑oriented with strong organizational and prioritization skills
- Comfortable operating in a 24/7‑style support environment with responsiveness as needed
- Tech‑savvy with strong proficiency in Outlook and Excel; interest in AI and productivity tools a plus
- Ability to maintain boundaries, not personalize feedback, and stay focused on execution
- Bachelor’s degree preferred but flexible with strong experience
Compensation/Benefits:
- Up to $100K base salary + discretionary bonus
