Executive Assistant to CEO & Senior VP
Industry: Construction Management Services
Location: Richardson, TX (Onsite, 5 days/week)
Schedule: Full-time | Core hours 8:00 AM-5:00 PM (flexibility required)
Compensation: $90,000+ (DOE) and 5-10% bonus, cell phone allowance
About the Role
Our client, a well-established organization in the construction management space, is seeking a highly seasoned Executive Assistant to provide comprehensive support to their Chief Executive Officer and Senior Vice President. This is a permanent, onsite role supporting two senior leaders with demanding schedules, extensive travel, and high expectations.
Key Responsibilities
- Act as a true right hand to the CEO, proactively managing an extremely dynamic, high-volume calendar
- Stay at least one week ahead of executive scheduling, anticipating conflicts and resolving issues before they arise
- Coordinate complex domestic and limited international travel
- Monitor, rework, and prioritize meetings as schedules shift – including frequent double- and triple-bookings
- Provide administrative and logistical support for the Senior VP of Client Development, including inbox management, meeting coordination, and travel planning
- Arrange leadership meetings, quarterly planning sessions, board meetings, client lunches, and internal/external events
- Manage meeting logistics such as catering, printed materials, preparation packets, and occasional client or team events
- Occasionally assist with transportation coordination when executives need to stay productive between meetings
- Maintain discretion while handling confidential and sensitive information
- Provide after-hours support as business needs arise
Ideal Background
- 10+ years of Executive Assistant experience, with at least 5 years supporting a CEO or equivalent executive
- Experience supporting highly driven, detail-oriented leaders with intense schedules
