A large, mission-driven hospital in Chicago is seeking a highly capable Executive Assistant to support a senior executive and partner closely with executive leadership. This role is ideal for someone who thrives in complex environments, anticipates needs before they arise, and enjoys being deeply embedded in executive priorities, projects, and stakeholder relationships.

Key Responsibilities

  • Assist with scheduling, calendar alignment, and monitoring evolving priorities
  • Organize priorities, accompany the executive to key meetings, capture action items and follow-ups, and ensure work streams stay on track
  • Support meeting preparation through research and stakeholder briefings
  • Partner closely with a senior executive to organize daily and long-term priorities
  • Draft correspondence, memos, and executive-level communications in the executive’s voice
  • Maintain contact databases and stakeholder information
  • Oversee light project and event coordination tied to executive initiatives
  • Build strong relationships with senior leaders, board members, and external partners
  • Collaborate with executive assistants and cross-functional stakeholders
  • Maintain strict confidentiality and handle sensitive information with integrity

Background Requirements

  • 3+ years supporting a senior or high-level executive in a healthcare setting
  • Experience in a large, complex, or highly matrixed organization
  • Strong written and verbal communication skills
  • Advanced proficiency with Microsoft Office, specifically PowerPoint, and administrative tools
  • Proven ability to manage confidential information with discretion
  • Ability to adapt quickly, balance multiple priorities, and exercise sound judgment
  • Prior experience in healthcare or similarly complex environments preferred
  • Familiarity with enterprise systems (e.g., EPIC, MEDITECH) is a plus
