Our client, a Private Wealth Fund located in Midtown, Manhattan is looking for a Temporary Administrative Assistant to join their team in support of SVPs of the Local Real Estate Investments Division and National Development Division and assist with the Office Administration department.

This position will serve for at least 6-months, with strong potential to convert permanent upon headcount approval. This role will operate five days/week on-site between 9:00am-5:00pm with flexibility and reachability needed before/after hours and weekends. Compensation is up to $46/hour DOE.

Responsibilities

  • Manage scheduling for the SVPs of the Local Real Estate Investments Division and National Development Division, including agendas, mail, email, phone calls, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to the SVPs of the Local Real Estate Investments Division and National Development Division
  • Coordinate and arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas
  • Assist the SVPs with managing the company’s workflow management platform (Monday.com), including implementation, reporting and analytics
  • Attend executive meetings, take minutes, and follow up on action items to ensure timely completion
  • Assist in board meeting preparation, including equipment setup and slide deck preparation
  • Provide general office management and support
  • Manage expenses and process expense reports in a timely manner
  • Handle confidential and sensitive information with discretion
  • Assist Management with Ad Hoc projects as needed

Qualifications

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Strong time management and ability to prioritize tasks
  • Experience providing administrative support to multiple C-Suite level personnel
  • Experience with VIP-type guests
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Professional demeanor and ability to handle sensitive and confidential information
  • Experience with stakeholders across geographical locations
  • CRM Experience (DealCloud is a plus)
  • Bachelor’s degree or equivalent experience
  • Minimum of 5 years of experience
