Our client is looking for a detail‑oriented and proactive Talent Acquisition Coordinator to support their hiring and pre‑employment processes. In this role, you’ll guide candidates from offer acceptance through their first day, ensuring a smooth, positive, and well‑organized onboarding experience. This is a contract role that will go through September.
Key Responsibilities
- Serve as the main point of contact for candidates throughout pre‑employment and onboarding
- Initiate, track, and follow up on screenings via HireRight to ensure timely completion
- Coordinate offer acceptance documentation and onboarding paperwork
- Partner with HR, Payroll, and Hiring Managers to ensure all onboarding steps are completed before start dates
- Communicate start‑date details, first‑day instructions, and onboarding expectations to new hires
- Maintain accurate weekly new‑hire reports in Excel, including start dates, roles, locations, and onboarding status
- Ensure data accuracy and alignment between iCIMS and internal tracking reports
- Monitor onboarding milestones and escalate delays or issues as needed
- Update and manage candidate records within iCIMS
- Support interview scheduling and coordination when required
- Prepare offer and onboarding documents using Word
- Manage communication and calendar coordination through Outlook
- Assist with ad‑hoc hiring and onboarding reporting requests
- Ensure compliance with internal hiring and onboarding procedures
- Contribute to a positive, professional, and engaging candidate experience
- Perform additional tasks as needed to support team and business goals
Qualifications
- 2+ years of experience in recruiting coordination, onboarding, or HR support
- Bachelor’s degree in HR, business administration, or related field preferred
- Experience with applicant tracking systems; iCIMS strongly preferred
- Familiarity with screening platforms such as HireRight
- Proficiency in Excel, Word, and Outlook
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Excellent verbal and written communication skills with the ability to build strong relationships
- Critical thinking and analytical skills to identify issues and support effective solutions
- Active listener with clear, professional communication
- Highly organized, detail‑oriented, and proactive in problem‑solving
- Thrives in a fast‑paced environment and committed to continuous improvement
Strong team player with a collaborative mindset and ability to deliver individual results
