Our client is seeking a reliable Facilities Assistant to support daily office operations within a mission‑driven environment. This role is best suited for someone who genuinely enjoys being on their feet, supporting meetings and events, and serving as a welcoming presence for staff and visitors. While this position includes front‑desk coverage, it is not a traditional receptionist role, as it blends facilities, events, and office support. Hours are generally 9:00am-5:00pm with flexibility for early morning meetings or end‑of‑day events, and the role is fully onsite five days per week.
Key Responsibilities:
- Support daily facilities and office operations primarily on one floor of the office
- Ensure conference rooms are clean, functional, and fully set up for meetings throughout the day
- Assist with meeting setup, room turnover, refreshes, and end‑of‑day breakdown
- Coordinate catering support and assist with the flow of external guests during meetings and events
- Maintain cleanliness and organization across executive offices, pantries, kitchens, copy rooms, and common areas
- Monitor and restock office supplies, pantry items, and meeting room materials
- Conduct daily walkthroughs to assess cleaning quality and flag maintenance needs
- Provide front desk coverage two days per week, greeting visitors, managing calls, and signing for packages
- Enforce office access and visitor procedures in coordination with facilities and security
- Assist with events, special projects, and facilities initiatives as needed
Qualifications:
- 3+ years of experience in office support, facilities, reception, hospitality, or similar roles (flexible)
- Strong customer‑service mindset with a warm, confident, and professional demeanor
- Comfortable working independently without constant oversight
- Highly organized, proactive, and detail‑oriented
- Able to remain flexible with schedule adjustments for meetings or events
- Comfortable being on your feet and performing light physical tasks (lifting up to ~20 lbs)
Compensation/Benefits:
- Up to $110K base salary + paid overtime
- 100% employer‑paid medical, dental, and vision coverage for employee and family

- Office closed between Christmas and New Year’s
- 401(k) with employer contribution (paid semi‑annually)
