Our client is seeking a highly proactive, detail‑driven Business Development Executive Coordinator to partner closely with the CEO and senior leadership at a global advisory and executive search firm. This is a growth‑focused, execution‑heavy role that blends executive support with business development, marketing coordination, and client pipeline management. The environment is fast‑paced and high‑standards, and the ideal candidate is comfortable logging in after hours as needed to keep momentum moving. The role is fully remote, with hours typically 8:00/8:30am-5:30/6:00pm. Willingness to respond to requests after traditional business hours is needed as this is a client-facing role.
Key Responsibilities:
- Partner closely with the CEO, executive assistant, and project managers to drive new business growth
- Execute business development origination through inbox management, client requests, newsletters, contracts, and conference follow‑up
- Manage and maintain the client pipeline with consistent, precise follow‑through
- Prepare, send, and track client materials, contracts, and invoices
- Update and manage BD status reports and workflows in Asana and related platforms
- Coordinate business development and candidate profile presentations with recruiting teams
- Assist in drafting and refining client presentations and profiles
- Own and manage the CEO’s LinkedIn presence and the firm’s company page, identifying BD opportunities
- Monitor LinkedIn inboxes and respond to client inquiries with professionalism and urgency
- Schedule and prioritize client meetings in coordination with project managers
- Manage conference planning and track BD leads from meetings and media
- Oversee marketing materials, pitch decks, client folders, and data updates
- Create and review contracts using approved templates and coordinate with finance on execution
- Manage newsletter finalization and distribution in partnership with the PR firm
- Track media inquiries and coordinate responses with PR partners
Qualifications:
- 8+ years of experience in executive coordination, business development support, or professional services operations
- Bachelor’s degree strongly preferred
- Exceptional attention to detail, particularly around grammar, spelling, and written materials
- Proven ability to operate under high standards with accuracy and follow‑through
- Strong project management and prioritization skills
- Proactive, roll‑up‑your‑sleeves mindset; no task too big or too small
- Comfortable working independently and owning outcomes
- Experience with Asana or similar project management tools preferred
- Advanced proficiency in Microsoft Office
- Thick skin, grit, and comfort operating in a demanding, data‑driven environment
Compensation/Benefits:
- Up to $130K-$150K base salary + discretionary bonus
