Our client is seeking a highly experienced, collaborative Executive Assistant to provide true 1:1 support to the incoming Head of U.S. operations within a global real estate and investment management platform. The ideal candidate is steady, adaptable, and confident supporting a new leader while helping establish rhythms, preferences, and structure. Hours are generally 9:00am-5:00pm with flexibility as needed, and the role follows a hybrid 4/1 schedule, flexing to additional in‑office days during onboarding.

Key Responsibilities:

  • Provide full‑scope executive support to the Head of U.S. operations in a true 1:1 capacity
  • Manage a complex, evolving calendar with heavy meetings and competing priorities
  • Coordinate extensive domestic and international travel, including detailed itineraries
  • Support board and leadership‑level meetings, including preparation, materials, and follow‑up
  • Prepare, edit, and proofread executive‑level communications, presentations, and reports
  • Serve as a proactive gatekeeper, prioritizing requests and ensuring critical items are addressed
  • Coordinate town halls, leadership meetings, offsites, and team events
  • Manage expenses, invoices, and budget tracking related to the executive’s activities
  • Oversee incoming and outgoing communications on behalf of the executive
  • Build strong relationships with internal and external stakeholders across global offices
  • Proactively identify opportunities to improve processes and increase efficiency

Qualifications:

  • 10+ years of experience supporting C‑suite or senior executives in a large, global organization
  • Strong preference for backgrounds in commercial real estate, investment management, or similar professional services environments
  • Exceptional organizational and time‑management skills
  • Proven ability to support leaders during onboarding or periods of transition
  • Comfortable managing ambiguity and shifting priorities
  • Strong written and verbal communication skills with executive presence
  • Advanced proficiency in Microsoft Office and collaboration tools
  • Highly collaborative, adaptable, and service‑oriented mindset
  • Bachelor’s degree preferred

Compensation/Benefits:

  • Up to $130K-$140K base salary + discretionary bonus
