Our client is seeking a highly experienced, proactive Executive Assistant to support a Senior Partner and a Director within a global investment team. This is a role requiring strong strategic calendar management, sound judgment, and the ability to add value beyond execution. The Senior Partner sits on the investment committee and is described as collaborative, down‑to‑earth, and respectful of a strong EA partnership. Hours are 8:00am-6:00pm with a hybrid schedule of four days onsite and one remote splitting time between the company’s New York City and Greenwich, CT offices.
Key Responsibilities:
- Provide high‑level executive administrative support to a Senior Partner and Director across global regions
- Manage complex, dynamic calendars with a strategic lens, prioritizing meetings and optimizing executive time
- Coordinate domestic and international travel, including detailed itineraries and last‑minute changes
- Act as a trusted right hand, helping streamline schedules and proactively identify efficiencies
- Prepare, organize, and distribute meeting materials, pre‑reads, and follow‑up notes
- Coordinate internal and external meetings, conference calls, and events across time zones
- Serve as a professional point of contact for senior internal stakeholders, investors, and external partners
- Plan and support events, conferences, and off‑sites including logistics and coordination
- Prepare and reconcile expense reports accurately and in a timely manner
- Maintain shared calendars and systems in coordination with other EAs
- Provide backup support across teams as needed
- Assist with special projects and time‑sensitive initiatives, often requiring discretion and responsiveness outside standard hours
Qualifications:
- 4-7+ years of Executive Assistant experience in a fast‑paced, global environment
- Experience supporting very senior executives (C‑suite, IC members, or equivalent) strongly preferred
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Demonstrated ability to manage shifting priorities and operate under pressure
- Sound judgment, discretion, and comfort handling confidential information
- Strategic mindset with the ability to proactively add value beyond task execution
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; CRM familiarity a plus
- Bachelor’s degree required
Compensation/Benefits:
- Up to $120K base salary + paid overtime + discretionary bonus
