Our client is seeking an experienced, proactive Executive Assistant to support a senior leadership team within a global investment firm. This role will primarily support a newly appointed executive along with additional team members, while also providing occasional backup coverage to another senior leader’s support function. This is a high‑impact role supporting a group at the center of the firm’s AI and data‑driven investment strategy, offering strong visibility and long‑term growth potential. Hours are 8:00am-6:00pm with a hybrid schedule of four days onsite and one day remote.

Key Responsibilities:

  • Provide executive‑level administrative support to the Head of the team and senior leaders within the group
  • Manage multiple complex calendars across teams, ensuring priorities are reflected and executive time is optimized
  • Coordinate domestic and international travel, including detailed itineraries and last‑minute changes
  • Prepare, organize, and distribute meeting materials, pre‑reads, and follow‑up notes
  • Support internal and external meetings across time zones, including scheduling and logistics
  • Serve as a professional point of contact for senior internal stakeholders and external partners
  • Prepare and reconcile expense reports accurately and in a timely manner
  • Maintain shared calendars, databases, and systems in coordination with other EAs
  • Assist with special projects and time‑sensitive initiatives requiring discretion and precision
  • Operate with professionalism during market‑sensitive or high‑volume periods

Qualifications:

  • 5+ years of Executive Assistant experience in a fast‑paced, professional environment
  • Experience supporting senior leaders or team‑based coverage models preferred
  • Exceptional organizational skills with strong attention to detail
  • Strong written and verbal communication skills
  • Ability to manage shifting priorities and multi‑task under pressure
  • Sound judgment and comfort handling highly confidential information
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; CRM familiarity a plus
  • Interest in AI, data, or investment research environments strongly preferred
  • Bachelor’s degree required
