Our client is seeking a highly detail‑oriented, high‑performing Executive Assistant to support a Managing Partner within a global investment firm. This is a high‑bar, calendar‑intensive 1:1 role requiring precision, strong judgment, and the ability to operate in an extremely fast‑paced, high‑stakes environment. The role sits within a well‑structured executive support team and is heavily focused on complex scheduling and coordination. Hours are 8:00am-6:00pm with flexibility required, and the role is fully onsite five days per week.
Key Responsibilities:
- Own and manage a highly complex, high‑volume calendar (upwards of 100+ meetings daily coordination)
- Serve as the primary calendar gatekeeper, making fast decisions with limited information
- Coordinate internal and external meetings with senior stakeholders, investors, and partners
- Collaborate closely with Chief of Staff, Travel Manager, and Personal Assistant to ensure alignment
- Manage logistics for meetings, projects, and executive priorities across the firm
- Coordinate domestic and international travel, including detailed itineraries
- Process expense reports and handle administrative workflows as needed
- Prepare materials, spreadsheets, and presentations with exceptional attention to detail
- Maintain strict confidentiality and professionalism in all communications
Qualifications:
- 5+ years of Executive Assistant experience in a fast‑paced, high‑expectation environment
- Strong preference for financial services, fintech, executive search, or high‑growth startups
- Exceptional calendar management experience at a high volume
- Extremely detail‑oriented with flawless grammar, spelling, and communication
- Strong judgment and ability to make decisions independently
- Ability to thrive under pressure and manage constant change
- Proactive, organized, and solutions‑oriented mindset
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $130K base salary + discretionary bonus
