Our client, a rapidly growing SaaS company at the forefront of AI-driven financial technology, is seeking a highly organized, personable, and proactive Temp-to-Perm Office Administrator to oversee day-to-day office operations/management while supporting their CTO. Requiring 5 days/week on-site, hours are 9am-5pm daily with expected flexibility/reachability depending on business needs.
With a team of ~25 employees across New York and internationally, the company is experiencing significant growth and scaling quickly. This is a unique opportunity to join a fast-paced, entrepreneurial environment and play a key role in building structure and efficiency within the organization.
Responsibilities:
- Provide executive support to the Chief Technology Office.
- Assist in the recruitment process by screening incoming resumes, coordinating initial candidate outreach, and supporting interview scheduling and logistics
- Review and summarize internal documentation and policy materials to ensure accessibility, consistency, and ease of reference across teams
- Conduct research on industry-relevant technology conferences and events, including identifying opportunities, tracking submission deadlines, and assisting with registration and logistics.
- Support ongoing project management efforts by tracking action items, monitoring timelines, and following up with stakeholders to ensure progress and accountability.
- Coordinate daily office lunch orders
- Maintain office inventory by monitoring and replenishing snacks, kitchen supplies, and general office materials to ensure a well-stocked and organized workspace.
- Assist with office move logistics by coordinating vendor communication, scheduling site visits and viewings, and supporting overall transition planning.
- Manage the preparation and setup for internal visitors and guests, ensuring conference rooms, materials, and hospitality needs are organized in advance.
Qualifications:
- 3+ years of professional experience, tech-industry background required
- AI-savvy with an interest in learning new tools and implementing new processes
- Highly organized with strong attention to detail and ability to multitask
- Comfortable working with minimal direction and taking initiative
- Strong interpersonal skills with a positive, “can-do” attitude
- Polished and professional presence, with the ability to interact with senior leadership
- Tech-savvy and adaptable in a fast-paced environment
Compensation/Benefits:
- 75-85K base DOE + Bonus (combination of cash and stock)
- 100% covered benefits + 401K (planning to match in the future)
