Our client is seeking a proactive, detail‑oriented Executive Assistant to support a Client & Product Solutions (CPS) team within a global private markets firm. This is a team‑support EA role working with a mix of mid‑level through Managing Director professionals, balancing both lighter internal stakeholders and more demanding, client‑facing senior leaders. The environment is fast‑paced, collaborative, and global, and the ideal candidate is curious, coachable, and eager to grow within a high‑performing admin team. Hours are 9:00am-6:00pm with flexibility as needed, and the role follows a hybrid 4/1 schedule.
Key Responsibilities:
- Provide administrative support to 5-7 team members across varying seniority levels
- Manage complex calendars across time zones, prioritizing effectively based on business needs
- Coordinate domestic and international travel, including detailed itineraries
- Process expense reports accurately and in a timely manner
- Support investor meetings, roadshows, and client‑facing initiatives
- Partner closely with a global assistant team to ensure seamless coordination
- Anticipate scheduling conflicts and provide thoughtful solutions
- Support preparation of materials, presentations, and meeting logistics
- Maintain organized systems for contacts, travel preferences, and key resources
- Build knowledge of preferred hotels, restaurants, and meeting locations for executives
- Act as a professional and discrete point of contact for internal and external stakeholders
Qualifications:
- 2-3+ years of administrative or Executive Assistant experience
- Experience in professional services or a fast‑paced corporate environment preferred
- Strong organizational skills with excellent attention to detail
- Ability to manage multiple priorities and remain composed under pressure
- Proactive, curious, and coachable mindset
- Strong written and verbal communication skills
- Comfortable working in a highly collaborative, team‑based environment
- Proficiency in Microsoft Office; strong Outlook skills required
- Bachelor’s degree preferred
Compensation/Benefits:
- U to $105K base salary + discretionary bonus
