Our client is seeking a highly organized, proactive Executive Assistant to support the Recruiting team within a leading private investment firm. This is a high‑volume, scheduling‑intensive EA role focused heavily on coordinating complex interviews, managing calendars across time zones, and ensuring a seamless candidate experience. The ideal candidate is detail‑oriented, highly responsive, and thrives in a fast‑paced, high‑stakes environment supporting senior stakeholders. Hours are 8:30am-5:45pm with flexibility as needed, and the role follows a hybrid 4/1 schedule (NYC‑based).
Key Responsibilities:
- Provide executive‑level support to the Recruiting team, including the Head of Recruiting
- Coordinate a high volume of interviews across multiple time zones and stakeholders
- Manage complex calendars for recruiters and hiring managers, balancing competing priorities
- Serve as the central point of contact for candidates, internal interviewers, and external search firms
- Coordinate all stages of the interview process (intake calls, panels, final rounds, debriefs)
- Support internal HR processes including onboarding logistics and training coordination
- Maintain accurate records and documentation related to recruiting activities
- Coordinate occasional candidate travel and logistics
- Prepare and process expense reports related to recruiting activities
- Support special projects and ad hoc initiatives across the team
Qualifications:
- 4-7+ years of Executive Assistant experience
- Strong experience scheduling high‑volume, multi‑round interviews
- Experience working in fast‑paced, high‑performance environments
- Exceptional organizational skills with strong attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and manage competing priorities under pressure
- High level of discretion handling confidential information
- Proactive, responsive, and solutions‑oriented mindset
- Proficiency in Microsoft Office; familiarity with Workday or similar systems is a plus
- Bachelor’s degree required
Compensation/Benefits:
- Up to $120K base salary + paid overtime + discretionary bonus
