Our client is seeking a polished, service‑oriented Receptionist to serve as the face of a global investment office. This is a high‑touch, white‑glove front‑of‑house role combining reception, office coordination, and administrative support across teams. The ideal candidate is professional, detail‑oriented, and thrives in a client‑facing environment with high standards and strong hospitality expectations. Hours are 8:00am-5:00pm with an hour lunch, and the role is fully onsite five days per week.

Key Responsibilities:

  • Serve as the primary front‑of‑house contact, greeting guests and maintaining a polished reception experience
  • Manage guest registration, security clearances, and visitor tracking
  • Answer and route incoming calls with professionalism and discretion
  • Maintain reception area, coat closet, and common spaces to firm standards
  • Coordinate conference room bookings and meeting logistics, including catering and setup
  • Manage mail, deliveries, courier requests, and shipping coordination
  • Oversee office supplies, pantry, and wellness station inventory
  • Support administrative teams by providing backup coverage and assisting with overflow work
  • Assist with event coordination and internal engagement initiatives
  • Partner with Office Management and Facilities to support day‑to‑day operations
  • Maintain accurate records for subscriptions, vendor coordination, and internal systems

Qualifications:

  • 3-5+ years of experience in reception, office coordination, or administrative support
  • Background in financial services or corporate environments preferred (hospitality also strongly considered)
  • Strong customer service mindset with polished, client‑facing demeanor
  • Excellent communication and interpersonal skills
  • High attention to detail and organizational skills
  • Ability to multitask and prioritize in a fast‑paced environment
  • Proactive, dependable, and solutions‑oriented mindset
  • Comfortable supporting a team and stepping in where needed
  • Proficiency in Microsoft Office and office systems

Compensation/Benefits:

  • Up to $80K-$95K base salary + discretionary bonus
