Our client is seeking a highly polished, detail‑oriented Project Coordinator to support a Managing Director within a leading executive search firm. This is a client‑facing, project‑driven support role that blends executive assistant responsibilities with search coordination and client delivery. The position requires strong calendar ownership, attention to detail, and the ability to manage multiple high‑priority workstreams simultaneously. The ideal candidate is organized, professional, and thrives in a fast‑paced, service‑oriented environment. Hours are generally 8:30/9:00am-5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2-3 days onsite.
Key Responsibilities:
- Provide high‑level project and administrative support to a Managing Director
- Manage complex calendars, scheduling, and prioritization across clients, candidates, and internal stakeholders
- Coordinate high‑volume, confidential executive search interviews and meetings
- Serve as a key point of contact for C‑suite clients and executive candidates
- Track search progress and prepare job status reports
- Proofread and finalize client deliverables, presentations, and documents
- Coordinate domestic and international travel and logistics
- Maintain and update CRM/database systems
- Assist with PowerPoint presentations and proposal materials
- Partner closely with internal team members to ensure seamless execution across searches
- Manage multiple projects from start to finish with strong attention to deadlines and detail
Qualifications:
- 5-7+ years of Executive Assistant, Project Coordinator, or similar support experience
- Experience in professional services (consulting, legal, executive search, finance) strongly preferred
- Strong calendar management and organizational skills
- Excellent attention to detail, particularly in written materials and client deliverables
- Strong written and verbal communication skills
- High level of professionalism and executive presence
- Ability to multitask and manage competing priorities in a fast‑paced environment
- Proven ability to manage projects from start to finish
- Strong interpersonal skills and client‑facing experience required
- Proficiency in Microsoft Office (Word, PowerPoint, Excel) and CRM systems
Compensation/Benefits:
- Up to $100K base salary + paid overtime + discretionary bonus
