Our client is seeking a highly polished, proactive Executive Assistant to support senior professionals within the Capital Markets team at a leading global investment firm. This is a high‑volume, fast‑paced team support role requiring exceptional calendar management, attention to detail, and the ability to operate as an approachable gatekeeper across multiple stakeholders. The ideal candidate is organized, service‑oriented, and brings strong instincts from prior EA experience to add value and streamline workflows. Hours are generally 8:30am-5:30pm with flexibility as needed, and the role is fully onsite five days per week with potential flexibility over time.

Key Responsibilities:

  • Provide executive‑level administrative support to a team of MDs, Principals, and other professionals
  • Manage complex calendars, scheduling internal and external meetings across time zones
  • Coordinate domestic and international travel, including multi‑leg itineraries, hotels, car services, restaurants, and visas
  • Process and reconcile expense reports in a timely and accurate manner
  • Act as an approachable gatekeeper, helping prioritize communications and optimize executive time
  • Coordinate meeting logistics, conference rooms, and materials
  • Maintain organization of workflows, communications, and priorities
  • Anticipate scheduling conflicts and proactively resolve issues
  • Collaborate with other assistants and teams to ensure seamless support
  • Assist with ad hoc administrative tasks as needed

Qualifications:

  • 5-7+ years of Executive Assistant experience
  • Strong experience supporting multiple executives or teams
  • Excellent calendar management and travel coordination skills
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Professional, polished demeanor with strong interpersonal skills
  • Ability to multitask and manage competing priorities in a fast‑paced environment
  • Proactive, solutions‑oriented mindset
  • Proficiency in Microsoft Office
