Our client, a private equity investment and management firm located in New York City is looking for a Temporary Executive Assistant to join their team. This position will start ASAP and requires a commitment of 2-3 months with flexibility to extend. In office schedule is 4 days in, 1 day from home with the hours of 8am – 6pm with flexibility for overtime. Compensation is $47 – $55/hr DOE.
Responsibilities:
- Work directly with the primary executives to organize and leverage their time effectively, managing complex business and personal calendars and reviewing daily appointments.
- Professionally interact with internal stakeholders and external counterparties, including investors, platform company executives, vendors and public agencies
- Schedule and organize internal and external meetings, video calls, and appointments; create agendas, and prepare and distribute meeting materials
- Coordinate comprehensive travel arrangements, providing detailed itineraries
- Process expenses to ensure proper tracking against budget
- Coordinate events, including quarterly board meetings and dinners, periodic conferences and larger gatherings, and quarterly team off-sites and other culture-building events, owning the planning, organizing, and execution of major projects
- Professionally answer phone calls and emails; create and send correspondence
- Own vendor management processes
- Drive projects through completion with strong follow-through
- Support office operations initiatives
- Assist with office build-out projects over the next 6-12 months
Qualifications:
- 5+ years’ experience as an Executive Assistant to an executive-level professional with a background in private equity, professional services, startup or similar fast-paced environment preferred
- Bachelor’s degree required
- Possess strong interpersonal skills and the ability to build relationships with stakeholders, including team members, Executive Committee / Board members, and external vendors
- Demonstrate a proven ability to handle confidential information with discretion, adapting to various competing demands and demonstrating a high level of service and response
- Maintain meticulous and thoughtful communication skills; excellent writing and editing abilities
- Have experience proactively and efficiently managing multiple projects to varied timelines and budgets
- Naturally show stellar organizational skills and attention to detail
- Demonstrate a proven ability to prioritize and solve complex problems, using an adaptable and collaborative approach to work
