Our client is seeking a highly polished, adaptable Executive Assistant to join the administrative team at a leading global investment firm. This is an EA role supporting senior executives across multiple business areas, requiring exceptional flexibility, professionalism, and the ability to quickly adapt to different working styles. The ideal candidate is poised, detail-oriented, and enjoys variety, with a strong interest in supporting high-performing teams in a fast-paced financial services environment. Hours are generally 8:00/8:30am-5:30/6:00pm with flexibility as needed, and the role is fully onsite five days per week.

Key Responsibilities:

  • Provide executive-level support to multiple executives and teams across the firm as needed
  • Manage heavy and constantly changing calendars, meetings, and conference calls
  • Coordinate domestic and international travel arrangements, including detailed itineraries
  • Process expense reports, invoices, and reimbursements
  • Serve as a flexible resource across business groups, quickly adapting to different executive preferences
  • Handle incoming calls, inquiries, and requests with professionalism and discretion
  • Assist with scheduling logistics, meeting preparation, and conference room coordination
  • Maintain files, records, and administrative documentation
  • Welcome and support visitors, ensuring a high-quality experience
  • Provide backup coverage and administrative support across departments
  • Anticipate executive needs and proactively identify solutions to potential issues

Qualifications:

  • 3+ years of Executive Assistant experience supporting senior professionals
  • Financial services experience preferred
  • Experience in fast-paced, high-performance environments
  • Strong calendar management and travel coordination skills
  • Excellent organizational skills with exceptional attention to detail
  • Strong written and verbal communication skills
  • Professional, polished demeanor with strong executive presence
  • Ability to adapt quickly to different personalities and working styles
  • Strong Microsoft Office proficiency
  • Bachelor’s degree highly preferred

Compensation/Benefits:

  • Up to $115K base salary + bonus
