Our client, a higher education/student services organization, is seeking an Executive Assistant to the Executive Director for a 3-6 month temporary assignment with potential for permanent hire. This onsite role is based in Waltham, MA and pays $35/hour. The position will begin at 10-15 hours per week through early August, increasing to 30-35 hours per week, with a Monday-Friday schedule and early release on most Fridays. This is an excellent opportunity to support senior leadership within a highly visible, mission-driven campus organization. Key Responsibilities:

  • Provide executive support to the Executive Director and leadership team
  • Manage complex calendars, meetings, and scheduling
  • Serve as a primary point of contact for students, alumni, campus partners, and visitors
  • Coordinate departmental events, programs, and alumni engagement initiatives
  • Prepare presentations, reports, agendas, and meeting materials
  • Process invoices, reimbursements, and other financial transactions
  • Manage travel arrangements, expense reporting, and event logistics
  • Maintain databases, records, and administrative systems
  • Support special projects, strategic planning initiatives, and process improvements

Qualifications:

  • Prior Executive Assistant or senior administrative support experience
  • Exceptional written and verbal communication skills
  • Strong organizational, multitasking, and time-management abilities
  • Experience supporting senior leaders or executives
  • High level of professionalism, discretion, and confidentiality
  • Proficiency with Google Workspace (Docs, Sheets, Calendar, Slides)
  • Experience with Canva or similar design tools preferred
  • Ability to work independently and anticipate organizational needs
  • Strong customer service and relationship-building skills with diverse stakeholders
