Our client, a top-tier investment firm, is seeking a highly capable Executive Assistant to support a dynamic team of professionals, including Managing Directors, Vice Presidents, and Associates. This individual will serve as a true partner, building strong relationships grounded in trust, discretion, and exceptional execution. The EA will manage calendars, coordinate travel, process expenses, and handle a variety of ad hoc administrative and operational responsibilities in a fast-paced environment.
Hours are 8:45/9-5:45/6pm, requiring Monday-Thursday on-site with Fridays remote.
Key Responsibilities:
- Supporting team members in New York City: (2) MDs and (5-6) Team members varying from VP and Associate level
- Adaptability to support more professionals if the team expands
- Manage phones / messages (a professional point of contact to clients/investors)
- Heavy scheduling / calendar management
- Booking travel (coordinating with travel agency) – domestic and international travel
- Handle expenses – process in a timely manner in accordance with company policy via Concur
- Working with Receptionist to order/coordinate catering for in office meetings when needed
- Assist with restaurant reservations for business meetings when needed
- Processing business visas when needed
- Printing/binding as needed or for meetings
- Setup video conference and presentations for meetings when needed
- Ad hoc projects
- Team player – Required to fill in for other assistants when needed (such as vacation / sick coverage)
Ideal Candidate:
- Must have Bachelor’s Degree
- 3+ years’ administrative assistant experience (in the financial industry ideal)
- Extremely polished, professional, and proactive
- Ability to work in a fast passed environment
- Exceptional communication skills both oral and written
- Strong experience in Microsoft Office (particularly Outlook)
- Familiarity with Concur a plus
- Tech savvy a plus (Will need to learn to use AV systems)
- Ability to work independently and follow through on assignments
- Must be very organized; impeccable attention to detail and the ability to multi-task
- Great attitude / Team player
- Must be flexible with regards to work hours; overtime may be required
- In person office attendance required Monday through Thursday with flexibility on Friday

Compensation/Benefits:
- 75-90K Base DOE + Paid OT + Bonus
