Our client, a global professional services firm specializing in commercial real estate located in Manhattan is looking for a Part-Time Temporary Workplace Experience Coordinator to join their team. This position will start September 7th and will operate on an in-office schedule Monday-Friday, 6 hours per day starting at 7:00 AM or 8:00 AM. Compensation is $35/hr.
Responsibilities:
- Register all internal and external visitors with building security and coordinate seating assignments
- Serve as the primary liaison with building management and maintenance teams
- Address office and shared facility issues promptly and professionally
- Oversee cleaning services and manage third-party vendor relationships
- Ensure high-quality service delivery across the office
- Book and manage conference room scheduling
- Optimize meeting space utilization
- Order and maintain office supplies, snacks, beverages, and catering deliveries
- Manage inventory and stock rotation
- Plan and execute office events including happy hours, team dinners, and visitor gatherings
- Coordinate beverage services for meetings
- Handle meeting refreshment setup and cleanup
- Organize office-wide training sessions, fire safety drills, and wellness activities
- Support executive needs and high-profile visitor logistics
- Coordinate with administrative partners across locations
Qualifications:
- 3+ years of experience supporting senior-level management in an office coordination or administrative capacity
- Associate’s degree or equivalent professional experience
- Excellent written and verbal communication skills
- Exceptional attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency in Google Workspace
- Experience with video conferencing platforms
- Strong organizational and project management skills
- Ability to multitask and prioritize effectively under pressure
- High level of professionalism and discretion
- Ability to make independent decisions when handling confidential information
- Demonstrated experience managing vendor relationships
- Experience coordinating facility operations
- Bachelor’s degree or equivalent professional experience in office management, facilities coordination, or related field preferred
- Experience with travel management systems and expense reporting software preferred
- Familiarity with facilities management principles and vendor coordination best practices preferred
- Background in corporate event planning and execution preferred
