Our client is seeking a highly polished, proactive Executive Assistant to support senior professionals within the Asset Management team of a leading global real estate investment organization. This is a high‑touch team support role providing executive support to two Vice Presidents, two Directors, and a future senior leader. The ideal candidate is organized, detail‑oriented, and comfortable managing complex schedules, travel coordination, and competing priorities while exercising sound judgment and discretion. Hours are generally 8:45/9:00am-5:00pm with flexibility as needed, and the role follows a hybrid schedule with four days onsite and one day remote.

Key Responsibilities:

  • Provide executive support to 2 Vice Presidents, 2 Directors, and future senior leadership team members
  • Manage complex calendars with frequently changing priorities and scheduling conflicts
  • Coordinate domestic and international travel arrangements, including detailed itineraries and logistics
  • Process expense reports and manage administrative workflows
  • Coordinate onsite and offsite meetings, town halls, leadership meetings, and team events
  • Arrange meeting logistics including catering, materials, RSVPs, technology, and conference room coordination
  • Assist with presentations, document preparation, printing, and general office support
  • Support special projects and strategic initiatives from planning through execution
  • Maintain confidential files, presentations, and sensitive information with discretion
  • Identify process improvements and recommend operational efficiencies
  • Partner with internal and external stakeholders to ensure seamless execution of priorities

Qualifications:

  • 8+ years of Executive Assistant experience
  • Experience supporting senior leaders within financial services, real estate, consulting, or other professional services environments preferred
  • Strong calendar management and travel coordination experience
  • Excellent organizational skills with strong attention to detail
  • Exceptional written and verbal communication skills
  • High degree of professionalism, discretion, and judgment
  • Ability to manage multiple priorities under tight deadlines
  • Proficiency with Microsoft Office Suite, Teams, SharePoint, and related business tools
  • Strong interpersonal skills and ability to work independently
  • Resourceful, proactive, and solutions-oriented mindset
  • College degree preferred

  • Up to $120K base salary + discretionary bonus
