Our client is seeking a highly organized, proactive Events Assistant to support a dynamic Events team within a leading independent investment bank. This is a blended event planning and administrative support role and the ideal candidate is energetic, service-oriented, and thrives in a fast-paced environment where logistics, coordination, and flawless execution are critical. Hours are generally 9:00am-5:30pm with flexibility required around event schedules, and the role follows a hybrid 3/2 schedule.

Key Responsibilities:

  • Provide administrative and logistical support to the Events team across internal and external events
  • Maintain event calendars, timelines, vendor databases, and event documentation
  • Manage event contact lists, RSVP tracking, registration reporting, and attendee communications
  • Coordinate travel arrangements for team members, including flights, hotels, and transportation
  • Create and manage event itineraries and event logistics materials
  • Print and assemble name badges, tent cards, place cards, signage, and event collateral
  • Process invoices, expense reports, vendor contracts, and payment tracking
  • Coordinate shipping, inventory management, and event supply distribution nationwide
  • Research venues, restaurants, entertainment, gifting, catering, and additional event vendors
  • Assist with Cvent registration management and event platform administration
  • Attend New York-based events and support setup, execution, and breakdown
  • Support firm conferences, networking events, holiday parties, leadership meetings, and special projects

Qualifications:

  • Bachelor’s degree required
  • 2-3+ years of corporate event planning, event coordination, or related experience
  • Financial services, legal, consulting, or professional services event experience preferred
  • Strong administrative and project coordination skills
  • Excellent organizational abilities with exceptional attention to detail
  • Strong written and verbal communication skills
  • Experience managing multiple projects simultaneously
  • Advanced Microsoft Office skills, including Word, Excel, and PowerPoint
  • Professional demeanor with strong customer service and stakeholder management skills
  • Experience with Cvent is a plus
  • Ability to work occasional evenings and travel as needed for event support
