Our client, a leading real estate investment and management company, is seeking an Office Manager to join their Boston team. This is a highly visible role supporting senior leadership while overseeing day-to-day office operations and helping maintain a positive, collaborative workplace culture. Located in Boston’s Seaport District, this opportunity is ideal for an organized, proactive administrative professional who enjoys balancing executive support, office management, and event coordination. Job Responsibilities

  • Provide executive-level support to senior leadership, including complex calendar management and travel coordination
  • Prepare expense reports, correspondence, presentations, agendas, and meeting materials
  • Coordinate meetings, conference calls, catering, and conference room scheduling
  • Serve as a primary point of contact for administrative requests and maintain confidentiality
  • Oversee daily office operations, supplies, vendors, facilities, and maintenance needs
  • Process invoices and maintain administrative records and tracking systems
  • Coordinate incoming and outgoing mail, packages, and deliveries
  • Plan employee events, team lunches, celebrations, and office-wide activities
  • Support employee engagement efforts and contribute to a welcoming office culture
  • Partner with building management and internal teams to ensure smooth office operations

Candidate Qualifications

  • 3+ years of executive support, office management, or administrative experience
  • Strong calendar management and travel coordination experience
  • Experience supporting multiple executives and teams simultaneously
  • Proficiency with Microsoft Office, Outlook, Teams, Zoom, and Excel
  • Experience managing expenses, invoices, and administrative workflows
  • Excellent organizational, multitasking, and communication skills
  • Strong attention to detail and ability to manage competing priorities
  • Comfortable working in a smaller office environment
  • Positive, team-oriented approach with a customer-service mindset
  • Comfortable working in a dog-friendly office
