Operations Coordinator (Temporary)

Location: Jamaica Plain, MA (Hybrid: Tuesday & Thursday onsite; Monday, Wednesday & Friday remote)
Schedule: 30-40 hours/week, Monday-Friday (must be available all five days; schedule determined weekly)
Duration: September through Mid-March
Compensation: $25/hour

Overview

A growing education technology nonprofit is seeking an Operations Coordinator to support its School Partnerships team. This role plays a critical part in building strong relationships with K-12 schools and districts by ensuring smooth operations throughout the sales, onboarding, and partnership lifecycle.

The ideal candidate is highly organized, detail-oriented, customer-focused, and excited to support educators while contributing to a mission-driven organization focused on improving educational outcomes.

Position Summary

The Operations Coordinator will serve as a key administrative and operational partner to the School Partnerships team. Responsibilities include managing inbound inquiries, coordinating demos and events, maintaining Salesforce data, supporting purchasing workflows, and ensuring a seamless experience for prospective and existing school partners.

Key Responsibilities

Partner & Customer Support

  • Serve as the first point of contact for inbound school and district inquiries
  • Provide timely, professional responses and route inquiries to the appropriate team members
  • Support customers with basic questions regarding subscriptions, curriculum access, and platform functionality
  • Escalate technical or specialized inquiries when appropriate

Sales & Partnership Operations

  • Coordinate demo scheduling, meeting logistics, and follow-up communications
  • Assist with proposals, quotes, purchasing documentation, and sales-related communications
  • Research schools and districts to support outreach initiatives and meeting preparation
  • Prepare and customize presentations and partner-facing materials
  • Maintain organized records of sales and outreach assets

Data Management & Reporting

  • Enter and maintain accurate information within Salesforce
  • Manage dashboards, reports, trackers, and operational documentation
  • Ensure data integrity across partnership records and reporting systems
  • Assist with documenting and improving internal processes and workflows

Implementation & Events

  • Coordinate logistics for webinars, trainings, partner meetings, and other events
  • Track registrations, attendance, communications, and materials
  • Assist with onboarding activities for new school partners
  • Support preparation and coordination for in-person events

Administrative & Financial Support

  • Process purchase orders, invoices, agreements, and subscription documentation
  • Maintain accurate records of partnership transactions and contracts
  • Coordinate with internal teams to ensure timely processing of required documentation

Qualifications

  • Bachelor’s degree or equivalent professional experience
  • 1-3 years of experience in operations, customer support, administrative coordination, sales support, or similar roles
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Proficiency with Google Workspace
  • Ability to learn new software and systems quickly
  • Self-starter who can work independently and proactively solve problems

Preferred Qualifications

  • Experience working within K-12 education, nonprofit organizations, or EdTech
  • Exposure to Salesforce or similar CRM platforms
  • Experience supporting sales teams, customer success teams, or partnership programs
  • Interest in process improvement and operational efficiency
