Our client is seeking a highly organized, proactive Office Administrator / Executive Assistant to serve as the primary administrative and operational support professional within a growing investment management firm. This is a blended Executive Assistant and Office Management role supporting the Managing Partner while overseeing day-to-day office operations for a lean, entrepreneurial team. The ideal candidate is resourceful, self-directed, and comfortable wearing multiple hats in a fast-paced environment where initiative and ownership are highly valued. Hours are generally 8:30am-6:00pm with flexibility for occasional early meetings, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to the Managing Partner, including calendar management and scheduling
- Coordinate domestic and international travel arrangements, including flights, hotels, conferences, reservations, and itineraries
- Support scheduling and administrative needs for the broader investment team
- Assist with investor relations activities, including managing inbound investor inquiries and communications
- Maintain office operations, supplies, inventory, and common areas
- Coordinate building management requests, office vendors, and day-to-day facilities needs
- Manage meeting logistics, conference room preparation, and visitor coordination
- Support fundraising and business development initiatives through administrative and organizational assistance
- Serve as the primary administrative resource for the office
- Handle expense tracking, reimbursements, and operational workflows
- Assist with special projects and process improvement initiatives
Qualifications:
- Bachelor’s degree required
- Prior Executive Assistant, Office Manager, Office Coordinator, or administrative experience preferred
- Open to candidates earlier in their careers with strong administrative aptitude and professionalism
- Strong calendar management and scheduling experience
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Resourceful, self-motivated, and comfortable working independently
- Ability to manage multiple priorities simultaneously
- Positive, team-oriented attitude with strong interpersonal skills
- Entrepreneurial mindset and willingness to take ownership
- Interest in finance, investing, or professional services environments is a plus

- Up to $100K-$140K base salary + discretionary bonus
