Our client is seeking a highly organized, proactive Executive Assistant to support a senior team within the Capital Markets group of a leading global alternative asset management firm. This is a high-touch team support role supporting an MD, Principal, and broader team members within a growing New York-based business unit. The ideal candidate is collaborative, detail-oriented, and thrives in a fast-paced environment where strong communication, ownership, and partnership are highly valued. Hours are generally 8:30/9:00am-5:30/6:00pm with flexibility as needed, and the role follows a hybrid 3/2 schedule across multiple Manhattan office locations.
Key Responsibilities:
- Provide executive support to Capital Markets professionals, including an MD, Principal, and additional team members
- Manage complex calendars and meeting coordination across multiple stakeholders and time zones
- Coordinate domestic and international travel arrangements, itineraries, and logistics
- Process and manage expense reports accurately and efficiently
- Schedule internal and external meetings, conference calls, and team events
- Serve as a professional liaison with internal teams, investors, and external partners
- Maintain organized records, administrative systems, and documentation
- Anticipate scheduling conflicts and proactively identify solutions
- Support meeting preparation and administrative workflows
- Collaborate closely with fellow Executive Assistants to ensure seamless team coverage
- Assist with ad hoc projects and team initiatives as needed
Qualifications:
- 5+ years of Executive Assistant or administrative support experience
- Bachelor’s degree highly preferred
- Financial services experience is helpful but not required
- Professional services, consulting, legal, or corporate experience strongly considered
- Exceptional calendar management and scheduling expertise
- Strong travel coordination and expense management experience
- Excellent written and verbal communication skills
- High attention to detail and strong organizational abilities
- Proactive, resourceful, and solutions-oriented mindset
- Collaborative approach with a low-ego, team-first mentality
- Proficiency in Microsoft Office Suite and business technology platforms
Compensation/Benefits:
- Up to $120K base salary + paid overtime + discretionary annual bonus
