Our client is seeking a highly organized, proactive Executive Assistant to support the Technology Group within a leading independent investment bank. This is a high‑touch team support role providing executive support to senior bankers across a fast-paced coverage group. The ideal candidate is collaborative, detail-oriented, and thrives managing complex calendars, travel logistics, expenses, and stakeholder communications while operating as a trusted partner to both executives and the broader administrative team. Hours are generally 9:00am-5:30pm with flexibility as needed, and the role follows a hybrid 4/1 schedule.

Key Responsibilities:

  • Provide executive support to senior members of the Technology Group, including the Head of Group, Partners, and Managing Directors
  • Manage complex calendars, appointments, meetings, and executive priorities
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and detailed itineraries
  • Schedule and organize internal and external meetings, conference calls, and events
  • Prepare meeting materials, agendas, and follow-up documentation
  • Process expenses and reporting
  • Track and update DealCloud records to maintain accurate meeting and relationship data
  • Serve as a liaison between executives, clients, and internal teams
  • Coordinate conference rooms, logistics, and executive support activities
  • Support special projects and group initiatives as needed
  • Partner closely with the broader administrative team to provide seamless coverage and support

Qualifications:

  • 4+ years of Executive Assistant or administrative support experience
  • Bachelor’s degree preferred
  • Financial services, investment banking, consulting, legal, or professional services experience preferred
  • Strong calendar management and travel coordination skills
  • Experience supporting senior executives and managing competing priorities
  • Excellent written and verbal communication abilities
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
  • Experience with expense management systems and CRM platforms is a plus
  • Team-oriented mindset with strong interpersonal skills
  • Ability to work effectively in a fast-paced, high-performance environment
