Our client is seeking a highly organized, proactive Executive Assistant to support the Chief Investment Officer and the broader investment team within a specialized alternative asset management firm. This is a dedicated executive support role focused on managing the day-to-day priorities of the CIO while serving as a trusted partner across scheduling, meeting coordination, and executive operations. The ideal candidate is detail-oriented, relationship-driven, and thrives in a fast-paced investment environment where anticipation, organization, and strong stakeholder management are critical. Hours are generally 8:45/9:00am-5:45/6:00pm with occasional after-hours support when the executive is traveling, and the role follows a hybrid schedule with three days onsite.

Key Responsibilities:

  • Provide dedicated executive support to the Chief Investment Officer
  • Manage complex calendars, scheduling, and meeting coordination across multiple time zones
  • Coordinate internal and external meetings and investor-related interactions
  • Arrange domestic and international travel logistics, itineraries, and accommodations
  • Support expense management and administrative workflows
  • Proactively monitor communications and coordinate meetings based on executive priorities
  • Anticipate scheduling conflicts and recommend solutions before issues arise
  • Build systems and processes that improve efficiency and organization
  • Support light administrative needs for the broader investment team
  • Partner with Executive Assistants across the New York and London offices to ensure seamless support
  • Maintain accurate records, contacts, and meeting information

Qualifications:

  • Previous Executive Assistant experience required
  • Financial services, asset management, hedge fund, private equity, investment banking, or related investment management experience required
  • Experience supporting investment professionals and fast-paced teams required
  • Strong calendar management and multi-time-zone scheduling expertise
  • Exceptional attention to detail and organizational abilities
  • Excellent written and verbal communication skills
  • Ability to proactively manage priorities and anticipate executive needs
  • Strong relationship-building skills with internal and external stakeholders
  • Interest in technology, AI tools, and process improvement initiatives
  • Proven longevity and career stability preferred
  • Positive, engaging, and collaborative personality
  • Bachelor’s degree preferred
