This temporary-to-permanent Executive Assistant / Client Service Associate opportunity is with a growing independent wealth management and financial planning practice in Downtown Boston. The position follows a hybrid schedule (Monday, Wednesday, and Friday onsite) with Monday-Friday hours from 9:00 AM to 5:00 PM. The position is paying $32.65/hour. The firm serves high-net-worth clients and offers a highly personalized, relationship-focused environment where employees can make a significant impact within a growing business.

Job Responsibilities

  • Manage a high-volume executive calendar and coordinate meetings
  • Schedule, confirm, and reschedule client appointments
  • Serve as a primary point of contact for client communications
  • Conduct phone and email outreach regarding appointments, documentation, and client follow-up
  • Prepare meeting materials and complete post-meeting follow-up activities
  • Process financial services documentation, including account applications, transfers, and beneficiary changes
  • Track new business activity and pending transactions
  • Maintain client records, CRM databases, and document management systems
  • Assist clients with online account access, software navigation, and tax form requests
  • Support office administration, correspondence, mailings, and shipments
  • Perform financial planning data entry and administrative project work
  • Help improve internal processes and organizational systems as the practice expands

Candidate Qualifications

  • Prior experience as an Executive Assistant, Senior Administrative Assistant, Client Service Associate, or in a related role
  • Experience supporting a financial advisor, wealth management firm, or professional services organization strongly preferred
  • Strong client-facing communication and relationship-building skills
  • Ability to interact professionally with high-net-worth clientele
  • Excellent organizational skills and strong attention to detail
  • Proven ability to manage multiple priorities while maintaining accuracy
  • Experience handling confidential and sensitive information
  • Ability to work independently and take ownership of responsibilities
  • Proficiency with Microsoft Outlook and CRM systems
