Our client, a Private Equity firm is seeking a Temporary Administrative Assistant to support the NYC office located in Soho starting 9/21 and ending mid to end of December 2026. This role will be in office 5 days a week and hours are 9am – 6pm with flexibility for OT if needed.
Responsibilities:
- Supports New York Executive Members and visiting Kentucky/Amsterdam Executive Members with ad hoc requests when traveling to the New York Office
- Coordinates, books, and maintains calendar for travel of the New York office
- Supports Vice President of Administrative Services with firm-wide events, planning, travel support, and presentation support as needed
- Welcomes visitors into the New York office
- Day-to-day trouble shooting of technology related issues; work with IT vendor for New York office
- Assists with building-related functions – cleaning, maintenance, service, office moves/re-designs, furnishings, etc. of the New York office
- Maintains New York Office equipment and office infrastructure – Internet, phones, computers, technology, etc.
- Coordinates New York office activities as directed (social calendar and events)
- Communicates upcoming event details with employees and coordinates events in conjunction with the KY admin and NYC event calendar
- Assist with the management of the company Annual Calendar
- Stocking office with supplies, snacks, and refreshments
- Checks and delivers incoming mail daily, ships outgoing mail as necessary
Experience:
- 5+ Years experience in an administrative or support role
- Bachelor’s Degree required
- Excellent communication skills, both written and verbal
- Strong organizational and time management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Flexibility and adaptability to changing priorities and needs
- Professionalism and a positive attitude
- Very strong interpersonal skills and the ability to build relationships
- Proactive approach to problem-solving
- Technically savvy
- Collaborative and highly resourceful team player
- Proven ability to handle confidential information with the utmost discretion
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Zoom
Compensation:
- Hourly rate up to $40/hr DOE
