Our client is seeking a highly professional, service-oriented Receptionist to serve as the front-facing ambassador of a leading private investment firm focused on sports, media, and entertainment. This is a high-visibility reception and office operations role working alongside a second Receptionist to deliver an exceptional hospitality experience for executives, investors, clients, and guests. The ideal candidate is adaptable, proactive, and thrives in a fast-paced environment where professionalism, judgment, and a team-first mentality are essential. Hours are generally 7:30am-5:00pm, and the role is fully onsite five days per week.
Key Responsibilities:
- Serve as the first point of contact for visitors, executives, clients, candidates, and business partners
- Greet guests, manage visitor registration, and coordinate building access and security procedures
- Answer and route incoming calls while maintaining a professional and welcoming front desk presence
- Coordinate conference room scheduling, meeting logistics, and workspace reservations
- Manage the shared reception inbox and respond to office-related requests
- Assist with mail distribution, package handling, courier services, and shipping requests
- Coordinate catering and refreshments for meetings, events, and office gatherings
- Support meeting room setup, AV coordination, and hospitality services
- Partner with Executive Assistants, Workplace Services, and Operations teams to ensure seamless office support
- Assist with office supply management, inventory tracking, and common area upkeep
- Liaise with building management, vendors, security personnel, and service providers
Qualifications:
- 2-3+ years of receptionist, office coordinator, hospitality, events, or related experience
- Experience within financial services, professional services, luxury hospitality, or other client-facing environments preferred
- Strong executive presence and professional demeanor
- Exceptional customer service and hospitality mindset
- Excellent verbal and written communication skills
- Strong attention to detail and organizational abilities
- Ability to remain composed and adaptable in a fast-paced environment
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
- Experience managing calendars, conference rooms, and office logistics preferred
- Team-oriented attitude with a willingness to assist wherever needed
- Strong judgment, maturity, and problem-solving abilities
- Bachelor’s degree preferred
Compensation/Benefits:
- Up to $80K-$85K base salary + built-in overtime compensation + discretionary annual bonus
