Receptionist / Office Coordinator

We are seeking a friendly, professional, and service-oriented Receptionist / Office Coordinator to serve as the first point of contact for a prestigious organization in the Buckhead area. This individual will play a key role in creating a welcoming experience for visitors, clients, and employees while ensuring the office operates efficiently and professionally. The ideal candidate thrives in a people-focused environment, enjoys providing exceptional customer service, and takes pride in maintaining an organized, engaging workplace.

Key Responsibilities

Front Desk & Guest Services

  • Serve as the face of the organization by greeting and welcoming visitors, clients, vendors, and employees.
  • Manage the front desk and maintain a professional and inviting reception area.
  • Answer and direct incoming phone calls, taking messages and handling inquiries with professionalism and courtesy.
  • Coordinate visitor check-ins and assist guests with meeting logistics and office navigation.
  • Sign for and manage incoming deliveries, mail, and courier services.
  • Build positive relationships with employees, clients, and external partners through exceptional service and communication.

Employee & Client Support

  • Provide administrative support to leadership and team members as needed.
  • Assist with document preparation, printing, binding, scanning, notarization, and mailing services.
  • Coordinate courier pickups, package shipments, and office deliveries.
  • Create polished internal communications, announcements, and office notices.
  • Support executives with various administrative requests and special projects.
  • Serve as a helpful resource for employees, assisting with day-to-day office needs and requests.

Office Hospitality & Workplace Experience

  • Coordinate catering and refreshments for meetings, training sessions, and company events.
  • Set up meeting spaces and ensure conference rooms are clean, organized, and ready for guests.
  • Maintain fully stocked kitchens, breakrooms, coffee stations, beverages, and snack areas.
  • Assist with hosting clients and visitors, helping create a positive and professional experience.
  • Support company celebrations, employee appreciation activities, holiday events, and office-wide gatherings.
  • Help foster a welcoming, engaging, and collaborative workplace culture.

Office Operations

  • Partner with the Office Manager to ensure the office runs efficiently and employees have the resources needed to be successful.
  • Monitor and order office, kitchen, shipping, and workplace supplies.
  • Coordinate building maintenance requests and vendor services as needed.
  • Support onboarding activities by preparing workstations, ordering business cards and nameplates, and assembling new hire welcome materials.
  • Assist with office organization, cleanliness, and overall presentation of common areas.
  • Serve as backup support for the Office Manager when needed.

Qualifications

  • 2+ years of receptionist, front desk, office coordinator, hospitality, or customer service experience preferred.
  • Professional, polished, and approachable demeanor.
  • Outstanding verbal and written communication skills.
  • Strong customer service mindset and passion for helping others.
  • Excellent interpersonal skills with the ability to interact confidently with employees, executives, clients, and visitors.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Proficiency with Microsoft Office Suite and standard office technology.
  • Positive attitude, strong work ethic, and willingness to take initiative.
