Part-Time Administrative Assistant (Temporary)

Location: Waltham, MA (Primarily Onsite)
Schedule: Monday-Friday, 10:00 AM – 2:00 PM
Duration: Approximately 6 Months
Compensation: $24/hour

Overview

A respected nonprofit organization dedicated to supporting older adults, individuals with disabilities, and caregivers is seeking a Part-Time Administrative Assistant to provide office and administrative support. This role is ideal for a detail-oriented professional who enjoys customer service, administrative coordination, and working in a mission-driven environment.

Position Summary

The Administrative Assistant will serve as a key point of contact for clients, visitors, and staff while supporting day-to-day office operations. Responsibilities include phone coverage, database maintenance, scheduling, document management, and general administrative support.

Key Responsibilities

  • Serve as the first point of contact for clients, visitors, and incoming callers
  • Provide phone coverage and respond professionally to inquiries
  • Maintain and update databases, ensuring accuracy and completeness of records
  • Assist with scheduling appointments and calendar coordination
  • Prepare mailings, correspondence, and other administrative materials
  • Perform data entry, scanning, filing, and document management tasks
  • Monitor and distribute incoming mail, emails, and office communications
  • Support special projects and assist team members with administrative needs
  • Maintain organized records and ensure confidentiality of sensitive information
  • Deliver exceptional customer service while supporting a busy office environment

Qualifications

  • Previous administrative, receptionist, or office support experience required
  • Strong customer service and interpersonal skills
  • Excellent organizational skills with strong attention to detail
  • Proficiency with Microsoft Office and database systems
  • Strong verbal and written communication skills
  • Ability to multitask, prioritize responsibilities, and manage deadlines
  • Reliable, professional, and team-oriented approach

Preferred Background

  • Experience supporting nonprofit, healthcare, human services, or community-based organizations
  • Comfortable working in a client-facing environment
  • Experience with data entry, scheduling, records management, or office coordination
