Our client is seeking a highly organized, proactive Executive Assistant to support partners within one of the world’s leading international law firms. This is a high-touch executive support role requiring exceptional calendar management, travel coordination, client service, and administrative execution within a fast-paced legal environment. The ideal candidate is detail-oriented, resourceful, and thrives supporting senior professionals while managing competing priorities with discretion and precision. Hours are generally 9:30am-5:30/6:00pm, and the role follows a hybrid schedule with four days onsite and every other Friday remote.

Key Responsibilities:

  • Provide dedicated executive support to partners within an assigned practice group
  • Manage complex calendars, scheduling, and meeting coordination across multiple offices and time zones
  • Coordinate domestic and international travel, including multi-city itineraries and logistics
  • Prepare and process expense reports and reimbursement requests
  • Support partner time entry, billing deadlines, matter administration, and client-related processes
  • Coordinate client meetings, conferences, business development activities, and events
  • Maintain CRM records and assist with client relationship management initiatives
  • Prepare agendas, presentations, pitch materials, and meeting documentation
  • Manage correspondence, legal documents, and administrative workflows
  • Partner closely with Practice Operations and Business Operations teams to ensure seamless support
  • Assist with special projects requiring discretion, judgment, and cross-office collaboration
  • Provide occasional personal administrative assistance for partners as needed

Qualifications:

  • 5+ years of Executive Assistant experience
  • Bachelor’s degree preferred but not required
  • Exceptional calendar management and travel coordination expertise
  • Experience supporting partners, executives, or senior professionals in high-performance environments
  • Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
  • Strong organizational and project management abilities
  • Excellent written and verbal communication skills
  • Ability to exercise sound judgment, discretion, and confidentiality
  • Proactive, adaptable mindset with a commitment to delivering exceptional service
  • Ability and curiosity to learn new systems and technology platforms quickly

Compensation/Benefits:

  • Up to $125K-$145K base salary + discretionary bonus
