This Administrative Assistant opportunity offers $35-$38/hour and is based in Boston, MA with a hybrid schedule (Monday through Thursday onsite, Friday remote). The role is with a global investment management/financial services organization and supports senior leaders within the business. The assignment is expected to run 6+ months, starting 9/21, with potential for future opportunities. Standard hours are 8:30 AM to 5:00 PM (30-minute lunch) or 8:30 AM to 5:30 PM (1-hour lunch).

Responsibilities:

  • Provide administrative support including calendar management, phone coverage, correspondence, meeting notes, expense reporting, invoice processing, subscriptions, and contract tracking.
  • Coordinate meetings, team events, onsite activities, and department outings.
  • Arrange domestic and international travel.
  • Interact professionally with employees across all levels of the organization.
  • Handle confidential and time-sensitive information with discretion.
  • Track tasks and support major projects and departmental initiatives.
  • Provide backup support to other administrative assistants and reception functions as needed.
  • Assist with presentations, meeting materials, and follow-up activities.

Qualifications:

  • Corporate administrative or professional office experience preferred.
  • College degree and/or equivalent relevant work experience.
  • Strong organizational and multitasking abilities.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to build collaborative relationships across departments and leadership levels.
  • Strong project coordination skills with exceptional attention to detail.
  • Professionalism, discretion, and sound judgment handling confidential information.
  • Team-oriented mindset with flexibility to support a variety of administrative functions.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
