Our client is seeking a highly organized, proactive Executive Assistant / Receptionist to support two Partners while serving as the primary front-of-house representative for a growing healthcare-focused private equity firm. This is a blended executive support, reception, and office management role that combines traditional administrative responsibilities with hospitality, office coordination, and event support. The ideal candidate is professional, approachable, resourceful, and enjoys being part of a close-knit team where no task is too big or too small. Hours are generally 9:00am-5:00pm with flexibility as needed, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to two Partners, including calendar management and scheduling
- Coordinate domestic travel arrangements, itineraries, and meeting logistics
- Serve as the primary receptionist, greeting visitors and managing incoming calls
- Manage conference room scheduling, catering, and meeting preparation
- Act as a gatekeeper while maintaining a professional and welcoming front-of-house presence
- Order office supplies, pantry inventory, FreshDirect deliveries, and office lunches
- Coordinate vendors, building management, maintenance requests, and office operations
- Assist with expense tracking, credit card reconciliations, and budgeting support
- Maintain contact databases, memberships, subscriptions, and executive records
- Manage incoming and outgoing mail, courier services, and shipping requests
- Support board dinners, annual investor meetings, and firm events alongside the administrative team
- Assist with special projects, research, presentations, and additional administrative initiatives
Qualifications:
- 3+ years of administrative, Executive Assistant, receptionist, office management, or related experience
- Bachelor’s degree preferred
- Financial services, private equity, healthcare, consulting, professional services, or hospitality experience welcome
- Strong calendar management and travel coordination skills
- Excellent customer service and hospitality instincts
- Advanced Microsoft Office proficiency
- Strong organizational abilities and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and changing deadlines
- Resourceful, proactive mindset with strong follow-through
- Collaborative, team-oriented attitude and willingness to assist wherever needed
Compensation/Benefits:
- Up to $85K base salary + discretionary annual bonus
