Our client is seeking a detail-oriented Administrative Licensing Coordinator to support a busy licensing and records department. This role is ideal for someone who enjoys administrative work, managing documentation, maintaining accurate records, and assisting customers with questions related to applications, registrations, and account information.

The Administrative Licensing Coordinator will provide support to licensing specialists by processing forms, updating records, reviewing documentation for completeness, maintaining databases, and helping ensure information is accurately entered and maintained. This position offers an opportunity to work in a structured, professional environment where accuracy, organization, and customer service are key to success.

Responsibilities

  • Review, process, and maintain applications, forms, and supporting documentation
  • Update and maintain electronic records, databases, and document management systems
  • Respond to phone and email inquiries regarding applications, registrations, renewals, and account updates
  • Verify submitted information for accuracy and completeness and communicate with individuals regarding missing or corrected information
  • Scan, upload, file, and organize electronic documents and records
  • Generate reports, correspondence, and administrative documentation as needed
  • Process incoming mail and route documents appropriately
  • Assist with data entry projects and record maintenance initiatives
  • Provide general administrative support to the licensing and compliance team
  • Support reception coverage and other office administrative functions as needed

Qualifications

  • 1+ years of administrative, clerical, records management, customer service, or office support experience
  • Strong data entry and computer skills, including Microsoft Office
  • Excellent attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Ability to maintain confidential and sensitive information
  • Experience working with databases, document management systems, licensing, credentialing, registration, compliance, or records administration is a plus
