Our client is seeking a highly organized, proactive Executive Assistant to support senior investment professionals within a leading international private equity platform. This is a high-volume executive support role providing support to Partners, Principals, and Vice Presidents while serving as a key member of a collaborative administrative team. The ideal candidate is detail-oriented, tech-savvy, and thrives managing complex calendars, extensive travel coordination, and competing priorities in a fast-paced investment environment. Hours are generally 9:00am-5:00pm with flexibility for occasional after-hours support, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to a team of investment professionals, including Partners, Principals, and Vice Presidents
- Manage complex and frequently changing calendars across multiple stakeholders
- Coordinate extensive domestic and international travel arrangements, itineraries, and logistics
- Process expense reports and reimbursements through Concur
- Assist with high-volume email management and executive communications
- Coordinate meetings, conference calls, and scheduling across internal and external teams
- Prepare agendas, meeting materials, and supporting documentation
- Support investor meetings, team events, dinners, and special projects
- Assist with travel-related problem solving and last-minute schedule changes
- Manage contact databases and administrative records
- Partner closely with fellow Executive Assistants and Office Assistants to ensure seamless coverage
- Provide occasional personal assistance and administrative support as needed
Qualifications:
- 3-5+ years of Executive Assistant experience
- Bachelor’s degree preferred
- Private equity, venture capital, investment management, financial services, consulting, legal, insurance, marketing, or professional services experience preferred
- Strong calendar management and executive scheduling expertise
- Extensive travel coordination experience
- Experience supporting multiple executives simultaneously
- Proficiency with Microsoft Office Suite, Outlook, Zoom, and business productivity tools
- Concur experience preferred
- Excellent organizational skills and attention to detail
- Strong written and verbal communication abilities
- Professional presence with strong interpersonal skills
- Tech-savvy mindset with the ability to troubleshoot and adapt quickly
Compensation/Benefits:
- Up to $135K base salary + discretionary annual bonus
